Who we are
Terra Hale Ltd (“Terra Hale”, “we”, “us”) operates two private training studios in London, at 155 Notting Hill Gate, W11 3LF and 247–249 Old Brompton Road, SW5 9HP, and the website at terrahale.com. We are the data controller for personal information collected through this website and at our studios.
What we collect
When you submit an enquiry through this website, we collect the personal information you provide: your name, email address, phone or WhatsApp number, the studio you’re interested in, and any message you include. When you become a member, we additionally collect health-screening, training, and body-composition information that you share with your trainer.
We also automatically collect basic technical information about your visit (IP address, browser, pages viewed) for analytics and security purposes, and we use cookies as described below.
How we use it
- To respond to your enquiry and arrange a Discovery Call
- To programme and coach your training, if you become a member
- To send service emails about your bookings and account
- If you have explicitly opted in: to send occasional newsletters about our work, with a one-click unsubscribe in every message
- To improve the website (anonymised analytics)
We do not sell, rent, or trade your information. We do not share your information with third parties for their marketing purposes.
Lawful basis
We process enquiry and member information on the basis of legitimate interests (responding to you) and contract (delivering the service you’ve booked). We process marketing email information on the basis of your consent, which you may withdraw at any time.
Cookies
On your first visit you’ll see a banner asking whether to enable measurement cookies. If you accept, we use the Meta Pixel (and its server-side equivalent, the Meta Conversions API) to measure the effectiveness of any advertising we run on Facebook and Instagram, and to understand which pages drive enquiries. If you reject, no Meta Pixel is loaded and no measurement cookies are set. Either choice is remembered for one year and can be changed by clearing the cookie tha_consent. Strictly necessary cookies (login, form session, cache) are always set, as they are required for the site to function.
Where your data lives
Enquiries and member records are stored in our customer system (FluentCRM, hosted in the EU) and on our website (WP Engine, hosted in the EU). Marketing and transactional emails are delivered via Amazon Simple Email Service (Amazon SES, eu-north-1). If you have given measurement consent, anonymised page-view events and (on enquiry submission) hashed contact details are sent to Meta Platforms Inc. via the Meta Pixel and Conversions API for ad measurement. Hashing is one-way (SHA-256) so Meta cannot reverse the hash to recover your raw email or phone. None of these providers receive your data for their own marketing purposes.
Your rights
Under UK GDPR you have the right to access, correct, delete, or export your personal data; to restrict or object to our processing; and to lodge a complaint with the Information Commissioner’s Office (ICO). To exercise any of these rights, email info@terrahale.com. We’ll respond within one calendar month.
Retention
We keep enquiry data for two years after the last contact. We keep member training records for the duration of membership and for six years afterwards (HMRC standard). We delete unsubscribed marketing contacts within 30 days.
